We collect as less as possible. We understand the stigma and are trying fighting stigma is part of what we do. But put bluntly, some information (or data) is necessary and helps us operate efficiently and gives us opportunity to learn and develop as an organisation. It also means we can collect donations, claim Gift Aid and keep you updated on everything Mulwade (we have some fabulous events planned and need your support!) It also helps us know how you like to be contacted.

WHERE

Donation (+ Gift Aid, if you’ve ticked that box), event, services and other items that we believeyou’ll benefit from (we’re not going to sell you info or try to sell you stuff – we hate that too)

With the info you’ve given, we may decide to get in touch about a service, shout out or voluntary help you have offered.

INFO GATHERING

We gather info in a few ways:
When you donate online (either directly or by using a third party donation platform),

over the phone or via SMS/text donation. We also collect information about you when you make a donation to us through setting up a standing order or Direct Debit, or donating via payroll giving (Give As You Earn)

WHAT WE DON’T DO, INFO-WISE 

How long do we keep your info?
How long do we need it? Well, you can tell us.
We’ll do whatever you personally need – drop us an email. GDPR restrictions apply and we make sure that we’re fully compliant. 

The legal requirement with regards to physical donation info = 7 years. Then we burn it.

When you have made a financial contribution or commitment to our work, as a donation, legacy gift or otherwise – unless you ask us not to (bottom of the form – see ‘donation info’)

MARKETING, PROFILING AND SCREENING

We act in the best interest of all everyone and try to keep data collection a minimum. The Data Protection Act 1998, GDPR and the Privacy and Electronic Communications (EC Directive) Regulations 2003, dictate the following:
By post: we send post to our supporters except where you
ve specifically told us you dont want to receive post from us.

If you want to stop receiving postal mailings from us, you can always let us know
Email: we send emails to keep you up-to-date on upcoming Mulwade events, Mulwade news, HIV news, changes in legislation and some topical items that we believe may be relevant to you.

Phone: we will only call if you need us, or have requested a call back.
SMS: where you
ve provided us with a mobile phone number, we may text you with events info, but only if you have asked us to.

SHARING INFORMATION

We work with a number of professionals who understand the importance of discretion, and have all signed non-disclosure agreements to ensure that your private info is kept private. We keep all info on hardware that is kept secure. The only cloud based info we keep will be when we communicate with you on email or text.

We safeguard your info as if it was our own. Security

As a charity, we have put this policy together to give you more control when it comes to your information and how we may use it. When considering the law in this area, you are afforded certain rights in terms of viewing the information we hold about you, correcting that information if necessary, and asking us to delete it should you like it to be erased.

In addition to this, you have the right to request that we do not use information we hold about you for the purposes of screening or profiling, and you also have the right to update marketing and fundraising communication preferences. You can do this by opting in or out.

Accessing the information we have about you (Subject Access Requests)
You have the right to request a copy of the information we hold about you. This is known as a Subject Access Request.

We may ask you to fill in a form in order to help expedite your request, prove your identity or to provide more detail regarding your request.

DELETING THE INFORMATION WE HOLD ABOUT YOU

You have the right to ask us to delete the information we hold about you. Whilst we are duty bound to comply with your request, this is different from opting out and means that we will erase all history of our interaction with you, as far as our legal obligations allow. We will also lose all history of your preference requests, including opt-outs and unsubscribes. This means that if you re-engage with us in the future, we will have no record of your prior preferences and may end up contacting you according to the rules we have set out in this policy.

Please note that in line with our legal obligations, we are required to hold on to all information pertaining to donations for a period of seven years (six years from the end of the financial year it was collected). Should you wish for us to erase the information we hold about you, we will happily comply whilst retaining the bare minimum of information required for us to fulfill our statutory obligations.

UPDATES TO THIS POLICY

We may update this policy from time to time. If we make any material changes to this policy we will let you know, should we have the sufficient permissions to do so. We will at this time also make it clear on our website that we have updated our terms.
